Privacy policy

This English version is a translation provided for convenience; the French version prevails.

This policy explains what personal data we process when you visit this website or get in touch with us, for what purpose, and what your rights are. It is based on the Swiss Federal Act on Data Protection (FADP, often called the "revised FADP").

In short: this website does not ask you to create an account, does not set any cookie itself, does not track your browsing and does not load any content from another website. Only our hosting provider may, in order to block malicious bots, set a short-lived technical cookie (see our cookie policy). The only data exchanged is the data technically required to display a page, and the data you choose to send us.

Who is responsible

The controller is DentalSystems Sàrl, in Jouxtens-Mézery (canton of Vaud), Switzerland, UID CHE-253.629.456. Its postal address is given in our legal notice.

For any question about your data: contact@dentalsystems.ch or +41 77 245 48 44.

When you visit the website

To display a page for you, the server necessarily receives certain technical information: your IP address, the date and time of the request, the page requested, the type of browser and the page you came from.

This information is processed by our hosting provider to deliver the website and to protect it against abuse and attacks. It is kept by the hosting provider for a limited period, according to its own rules.

Cloudflare provides us with overall traffic statistics and, in the event of an attack, details of the blocked requests. We only use them to monitor the proper functioning and security of the website, never to identify a visitor.

The website uses no audience measurement tool, no advertising service and no embedded social network. The fonts and all the resources of the page are served by the website itself.

Your display preference

If you choose the light or dark theme, this choice is saved in your browser (local storage, key "ds-theme") so that it is applied on your next visits. It stays on your device and is never sent to us. The "Automatic" choice deletes this information. The details are given in our cookie policy.

The FADP check-up

Your answers to the FADP check-up are saved in your browser (local storage, key "ds-bilan-nlpd") so that you can come back to it later. They stay on your device and are not sent to us; the "Delete my answers" button removes them.

If you click "Send us this check-up" or "Talk to us about it", the subject and summary are carried over into the contact form (session storage, deleted as soon as the form has read it). They only reach us if you send the form, after reading and completing them.

Searching the website

The search runs entirely in your browser: the first time you use it, the browser downloads the list of the website's pages and documents, then compares your words with this list. What you type is not sent to our servers.

The quiz and the documents

The FADP quiz runs entirely in your browser: your answers are neither sent nor saved. For the server, downloading a document is the same as displaying a page (see "When you visit the website").

When you contact us

The contact form sends your message to the website's server, hosted by Cloudflare. The message is first saved there, in a storage space located in the European Union, so that it cannot be lost, and is then sent to us by e-mail from our mail service. The saved message is deleted automatically 90 days after it is received.

To limit abusive submissions, the server counts the messages sent from the same connection over one hour. For this purpose it keeps only a fingerprint of your IP address, never the address itself, and deletes it after one hour.

If you write to us on WhatsApp, your messages go through the WhatsApp service, which encrypts them end to end but processes the connection information (numbers, times) on its own behalf. Its own privacy rules apply. Do not send patient data there.

When you write to us or call us, we process the information you give us (name, practice, contact details, content of the request) solely to reply to you and, where applicable, to prepare a quote or an intervention.

Our e-mails are hosted by Proton AG, a company based in Geneva, on servers located in Switzerland, Germany or Norway.

We keep these exchanges for as long as necessary to handle your request and follow up the relationship that results from it. Those that form part of our accounting records, such as an accepted quote or an invoice, are kept for ten years, as required by law. The others are deleted as soon as they are no longer useful.

Clients and partners

For our clients and partners, we process the contact details and information needed to perform our contracts: quotes, interventions, invoicing and follow-up.

When an IT intervention gives us access to a practice's data, including its patients' data, we act as a processor within the meaning of Art. 9 FADP: the practice remains responsible for this data. We process it only on the practice's instructions and within the framework of the contract concluded with it, and we are bound by secrecy (Art. 62 FADP). Patients who wish to exercise their rights should contact their practice.

Who receives your data

We do not sell or rent personal data. We only disclose it to the following recipients, and only to the extent necessary:

  • Cloudflare, Inc. (United States): hosting and protection of the website.
  • Proton AG (Switzerland): hosting of our e-mail.
  • The providers who assist us with accounting, invoicing and payments.
  • The vendors of the solutions we manage for our clients, for example antivirus protection or backup, to the extent that their operation requires it.
  • WhatsApp Ireland Limited (Ireland, Meta group), if you choose to write to us on WhatsApp.
  • An authority, when the law requires us to.

Data processed abroad

  • United States: our hosting provider, Cloudflare, Inc., is established there. It is certified under the Swiss-U.S. Data Privacy Framework. Since 15 September 2024, the Federal Council has recognised that U.S. companies certified in this way offer an adequate level of protection. Cloudflare states that it would apply standard contractual clauses if this certification were to lapse.
  • Cloudflare's network: each page is served to you by the Cloudflare data centre closest to you, which may be outside Switzerland.
  • European Union: messages from the contact form are saved in a Cloudflare storage space restricted to the European Union. The Federal Council recognises that the member states of the European Union offer an adequate level of protection.
  • Germany and Norway: Proton may store our e-mails there. The Federal Council recognises that both countries offer an adequate level of protection.
  • Ireland and United States: if you write to us on WhatsApp, the service is provided by WhatsApp Ireland Limited, which may transfer data to WhatsApp LLC in the United States. WhatsApp LLC states that it is certified under the Swiss-U.S. Data Privacy Framework.

The website contains links to other websites, for example to our Google Business Profile or to the federal authorities. These websites receive no information from us as long as you do not click. If you click, your browser only tells them that you are coming from our website; their own privacy rules then apply.

Security

The website is served over an encrypted connection (HTTPS): an "http://" address is automatically redirected to "https://". It has no user accounts and no client database; only messages from the contact form are saved, for 90 days at most.

Your rights

Under the FADP, you may at any time:

  • find out whether we process data about you and obtain a copy of it (right of access);
  • have inaccurate data corrected;
  • request the erasure of your data or object to its processing, subject to our legal retention obligations;
  • receive the data you have provided to us in a common format, where the law provides for this.

To exercise these rights, write to us at contact@dentalsystems.ch or by post to the address given in our legal notice. We may ask you to prove your identity. The answer is free of charge and reaches you within 30 days; if this deadline cannot be met, we will inform you and tell you when you will receive it.

If you believe that your data is not being processed correctly, you can contact the Federal Data Protection and Information Commissioner (FDPIC), www.edoeb.admin.ch.

Changes

We may adapt this policy, for example if the website evolves or the law changes. The version published on this page is the one that applies.
